How to Manage Activity and Pipeline Flow

Start with the accepted-opportunity goal and work backward through the funnel. Keep daily execution and record quality visible so the weekly review can select a specific targeting, messaging, or process change.

Start here. Build the foundation.

    Before the period starts, work backward from accepted opportunities through held meetings, booked meetings, replies, and activity. Publish daily and weekly channel targets with source periods and conversion assumptions so the required outcome explains the expected effort.

    Each business day, compare activity with the published pace. After two unexplained low-activity days, hold a same-day conversation using source records to establish what changed and agree on the next action.

Proficient

Build consistency and rhythm.

    When pipeline falls short, find the first conversion stage below its baseline. Bring sales leadership the numbers and one targeting, messaging, or process adjustment; recheck that stage after enough new cases pass through it.

    At least weekly, audit missing touchpoints, meeting outcomes, and lead statuses and assign same-day corrections. Verify against calls, messages, or calendars before recalculating conversion; label incomplete periods so they cannot masquerade as trends.

    When manual review no longer covers the team, publish rep-level stage conversion with period and segment filters. Ask BDRs to name their constraint before coaching, and check monthly that they are using the report.

Common Pitfalls

Avoid the common failure modes.
  • Setting activity targets without funnel math. Rebuild expectations from accepted opportunities and publish the assumptions behind each conversion step.
  • Discovering low activity only on Friday. Restore the daily check and address two-day drops while their causes can still be verified.
  • Cleaning records quarterly. Audit weekly and assign corrections while source evidence remains available.
